Permissions

System administrators can control access to aiR Assist per group within a workspace using Features Permissions for Index Management, Prompting, and Access Management. This is helpful when different teams are responsible for different tasks, such as only using indexing or only asking questions. See Feature permissions and Setting workspace permissions for more information.

  • By default, users in the System Administrators group are granted access to all aiR Assist permissions across all workspaces. These permissions cannot be modified.
  • ARM is not supported for aiR Assist. aiR Assist permissions, indexes, conversations, and metadata mapping cannot be archived, restored, or moved using ARM.

Below are some typical scenarios, along with the appropriate permission toggle settings:

Group Role Index Management Prompting Access Management Can see aiR Assist
Group A Full usage—index management, edit metadata mapping, prompt generation, conversation management ON ON OFF YES
Group B Index management only (create, rebuild, delete) and edit metadata mapping ON OFF OFF YES
Group C Prompt generation and conversation management only OFF ON OFF YES
Group D Manage permissions for other groups only; no access to aiR Assist functionality; System Admin level OFF OFF ON NO
aiR Assist appears in the group’s workspace only when at least one Index Management or Prompting permission is enabled. Access Management permissions alone do not display aiR Assist in the workspace.

Use the steps below to set aiR Assist feature permissions per group within a workspace:

  1. Navigate to Workspace Details within the Admin tab.
  2. Click Manage Workspace Permissions in the Relativity Utilities console.
  3. Click the Features tab.
Features tab within Workspace Security Permissions showing aiR Assist permissions
  4. Set the aiR Assist permissions as needed for the group:
    • Access Management—Toggle this setting ON to allow group members the ability to assign and manage the Index Management and Prompting permissions for other groups in the workspace. If this is the only aiR Assist permission enabled for the group, aiR Assist does not appear for them.
Because this advanced setting affects group permission assignments, System Administrators should enable it only for select groups.
    • Index Management—Toggle this setting ON to allow group members to use Index Manager to create, rebuild, and delete indexes and map metadata in the workspace. If this is the only permission enabled for the group, users cannot submit prompts, and they cannot start and manage conversations. For more information on Index Manager, see Index Management.
    • Prompting—Toggle this setting ON to allow group members to submit prompts about documents in the workspace using created indexes and optionally use metadata for results. They can also manage their conversations through the Conversation Manager. For more information on prompting and conversation management, see Prompting and Using Conversation Manager.
If both Index Management and Prompting permissions are disabled, aiR Assist does not appear in the group’s workspace. At least one of these permissions must be enabled for aiR Assist to appear.
  5. Click Review and Save to review the unsaved changes. For more information, see Setting workspace permissions.
  6. Click Save.
