Spreadsheet QC tool
Use Spreadsheet QC to view and edit Personal Information (PI) type assignments across all spreadsheet column headers in bulk. This tool helps you efficiently quality-check and correct PI assignments across your dataset without reviewing individual documents.
You can access Spreadsheet QC from the Spreadsheet QC tab in the aiR for Data Breach Response application.
Spreadsheet QC fields
Following is a list of standard fields that appear in Spreadsheet QC:

Header Value |
The value of the identified column header. |

Total Instances |
The total number of occurrences for the header value across all documents. |

Reviewed Instances |
The total number of locked documents where the header appears. |

Total Documents |
The total number of documents where the header appears. Click the document count to view the associated control numbers. |

Detected PI Type |
The most common PI value automatically assigned to the header during Data Analysis. If a reviewer manually assigned a PI type to the header across all documents where it appears (and no detector identified it as PI), this value is blank. |

Tagged PI Type |
The most common PI value assigned to the header by reviewers across all locked documents. This field is blank if none of the documents where the header value appears are locked. |

Final Tagged PI Type |
The updated PI value assignment made using Spreadsheet QC. This field is blank if the value has not been updated using Spreadsheet QC. |
Recommended workflow
We recommend using the following workflow to review spreadsheet headers:
Prioritizing headers for review
To maximize the impact of changes made using Spreadsheet QC, review unreviewed headers with the greatest number of occurrences across the dataset. To bring these headers to the top of the table:
- Sort the Total Instances column in descending order.
- Sort the Reviewed Instances column in ascending order.
You can also filter on the Detected PI Type and Tagged PI Type columns to focus on specific PI types.
Reviewing headers
To review and update PI type assignments for headers:
- Click the Total Document count for a header to view all documents where the header appears.
- Evaluate whether the PI type assignment is correct.
- If the assignment is correct, no further action is needed. Move on to the next header.
- If the PI type needs to be updated, continue to step 3.
- Select the checkbox next to one or more header values.
- Select the Edit PI Type mass action.
- In the Edit PI Type modal, select the new PI type and click Save.
The new PI type appears in the Final Tagged PI Type column.
When you are satisfied with the changes made, rerun the Structured Detection and Compile Insights stages of Data Analysis.
The Final Tagged PI Type column immediately reflects your changes. However, the viewer continues to display the previous PI type until you rerun Data Analysis.
