Mass operations

Using mass operations, you can perform actions on a set of documents at once instead of performing the same action for each individual document. Some mass operations are available to reviewers, while other mass operations will only display in the mass operations bar if you are a system administrator. Access to each mass operation can be granted individually.

  • Some mass operations like Edit, Replace, and Delete can temporarily lock down the document table while executing. In a workspace with a large number of records and users, the table may be locked for an extended period of time and prevent users from performing standard edits. In such cases, we recommend carrying out mass operations at night or an off-peak time.
  • You can't use mass operations on Data Grid-enabled fields.
  • Custom mass operations may also appear in the list. These include operations added to Relativity by your team or those provided by installed applications in your environment.

List of standard mass operations

The following table provides a list of the most standard mass operations, specifically those available on the Document object. Click any of the links below for more details.

There are other feature-specific mass operations that occur only on a limited number of objects. These are not listed below, but instead are found in their corresponding feature topics. For example, the Republish operation is available only on the Files tab within the Processing feature.

EditYou can use the mass edit operation to modify fields and coding values for multiple documents or objects at the same time.Document: Edit permission on the document object (so the user can modify field values). The fields to be edited must be on a layout the user can access.
CopyUse Mass copy to copy items within Relativity. By using mass copy you can easily copy and rename items to improve workflows.Object-specific: Rights to create the given object being copied. For example, to mass-copy views or layouts, the user needs Add (and likely Edit) permission on the View or Layout object respectively, since new copies will be created. (The Mass Copy permission alone is not sufficient without create rights on those objects.)
MoveYou can use the mass move operation to move selected documents from their current folder to another existing folder. If you mass move any documents, any custom security applied to those documents is lost.Document: Add and Delete permissions on the document object. (This combination effectively allows removing the doc from its current folder and adding it to the target folder.) The user also needs rights to the destination folder(usually via having access to the folder structure).
DeleteYou can use the Mass delete operation to remove a group of documents or objects from Relativity in a single operation. When you delete documents, you can also remove their images and natives from the file servers.Document: Delete permission on the document object (to remove those documents).Note: if deleting document images/natives as part of the operation, ensure the group also has rights to delete those files if applicable.
PDF With the Mass PDF operation you can create PDF files from natives, images, and produced documents, and save those PDFs on your computer. The Mass PDF operation also allows you to store PDFs created from native files or original images in Relativity and review them in the PDF Viewer. Document: at least View permission on documents to read them. To store PDFs in Relativity, the group needs Add rights on the Relativity Dynamic Object (RDO) that holds stored PDFs (the system manages this).If including produced images in the PDF, the user must have View rights on the “Production Data Source” object (to access produced versions).
ReplaceYou can use the mass replace operation to replace existing long or fixed-length field text with new content.Document: Edit permission on the document object (to modify the field content).Essentially the same rights as Mass Edit, on the fields being replaced.
ImageMass imaging creates TIFF or JPEG images for a document set based on the settings in the imaging profile you select. Relativity also provides a default imaging profile that you can use out-of-the-box. Document: Add permission on Document (to add new images to documents) and typically View on Document (to read them). Also, the user needs access to an Imaging Profile and an installed Imaging application.Note: In practice, having Add rights on documents and on the Imaging Set/Profile objects is required for imaging operations.
Tally/sum/average

You can use the tally/sum/average operation to tally, sum, or average the values of fields associated with documents or objects. This operation is commonly used to determine the number of pages in a print job or production.

Field: View permission on the fields to be tallied. (The user must be able to see the field values on the documents. No special “edit” needed since it’s a read/report action.)If tallying numeric fields for sum/avg, view rights on those fields suffice.
Export to fileUse the Export to file option from the Mass Operations bar to export the current View to a file (e.g., .xls, .cvs, .dat). If no individual records are selected, Relativity will export all records in the current view, regardless of how many records are displayed per page. Document: View permission on the object(s) being exported (e.g. documents for a document list export).The user must be able to see all fields in the view. No special object rights beyond read access are needed for a basic export.
ConvertUse Mass convert to pre-convert a large set of documents into HTML5 format before review. By using mass convert you can eliminate document load time in the viewer. Document: View permission on documents (to read and convert them). No additional rights required to convert, aside from an active viewer / conversion agent. (Mass Convert just automates viewer pre-render; if “Mass convert” is enabled for the group, and they can view the docs, they can perform it.)
Save as ListUse this to save a group of documents as a list, follow this procedure. The same steps apply to other objects with Lists enabled. Lists: Add permission on the List object (to create a new list of documents). The user also needs rights to view the documents.(In RelativityOne, if a user has rights to create Lists, the “Save as List” option will be available on the mass operations bar when appropriate.)

Detect Sentiment

Use this to score documents on the likelihood that they contain specific emotions. For more information, see Sentiment analysis.Analytics/AI: Likely requires the Analytics classification feature to be installed. No explicit separate object permission documented – if the feature is enabled, granting this mass operation should suffice along with View on documents.(Ensure the user can see the sentiment results field if one is used.)

Mass operations permissions

  • Assign to Entity—gives group members the rights to select and re-assign an alias to a different entity when using name normalization in Analytics.
  • Cluster—gives group members the rights to cluster documents using Analytics clustering.
  • Convert—gives group members the ability to convert a large set of documents into HTML5 format for faster document load times within the viewer.
    Mass convert is not available in repository workspaces.
  • Copy—gives group members the rights to copy securable objects such as views and layouts.
  • Delete—group members can mass-delete documents. Mass delete also requires the rights to delete documents.
  • Edit—gives group members the rights to use their layouts to simultaneously edit document field values for multiple documents.
  • Export—gives group members the rights to export audit data via Audit.
    This permission only appears if Audit is installed and configured.
  • Export to File—gives group members the right to export the contents of a view to a .csv, .xls or .dat file.
  • Image—group members can simultaneously send image requests for multiple native files.
  • Move—gives group members the right to simultaneously move documents from one or more folders to one target folder. Mass Move also requires add and delete document rights.
  • Merge—gives group members the rights to select and merge multiple entities into a single entity when using name normalization in Analytics.
  • PDF Actions—gives group members the ability to download, create, store, or number PDFs. For more information, see Mass PDF permissions.
  • Print Image—gives group members the right to simultaneously print images from multiple documents.
    While the Print Image mass operation may be visible in the security console, it is not available to use in RelativityOne. Mass printing of images is only available if you revert back to the ActiveX control, which is not an option in RelativityOne. Instead of mass printing images in RelativityOne, you can use the option to save an image as a PDF from the document viewer.
  • Produce—gives group members the right to simultaneously add multiple documents to a production set.
  • Replace—group members can perform a replace operation on multiple documents. Examples include:
    • Copying the contents of one text field to another.
    • Adding a set string to the beginning or end of an existing field.
    • Merging the values of a source field with the values of a target field.
  • Process Transcript—group members can process imported transcripts for viewing in Relativity.
  • Send To Case Map—group members can send multiple documents to CaseMap.
    CaseMap is not compatible with Windows 8.
  • Tally/Sum/Average—group members can tally, sum and average the values of any numeric fields. This action is recorded under the document history.
  • Custom mass operations—may appear in this list. They include mass operations that you added to Relativity or that are available in applications currently installed in your environment.
